The Communications Committee is an Operations committee consisting of a small group of volunteers responsible for two vital on-site roles.  The first is the maintenance and inventory of radios and communications equipment.  The second is to serve as the on-site information hub for staff, volunteers, vendors, security, and emergency services.

 

Involvement & Time Commitment Event long Days and evenings pre, during, and post events

 

Qualifications Knowledge of MIM event layout Able to maintain level of calm during all situations Understanding of digital communications systems a plus (Space on this committee is limited.)

 

Specific Duties & Responsibilities Maintain inventory and control of communications equipment during the events Provide radio assistance according to MIM policies Maintain a detailed Communications Log for each channel Keep radio operators informed of key information Provide replacement equipment to individuals on-site Coordinate WCBCC Swine Line (event information line) Attend Committee Meetings

The GARR Committee is an Operations committee responsible for ensuring a smooth and successful production of the Great American River Run event.  This committee supports the Memphis in May staff and provides leadership and problem solving before and during the event.  Members must enforce and have full knowledge of volunteer, GARR, and event rules and regulations. 

 

Involvement & Time Commitment GARR pre, during and post event Meetings vary; January - April with committees

 

Qualifications Knowledge of competitive races. Knowledge of downtown Memphis and GARR course. *Typically must be available to work very early morning day of race.

 

Specific Duties & Responsibilities General Advise MIM staff about ways to improve GARR. Committee members must be proactive with communication. Members must attend all trainings, meetings and events for GARR volunteers. All volunteer rules as listed in the leadership and volunteer manuals will be enforced by members.  (specifically the drinking policy). GARR Steering Members are to be onsite when Runner Check-in opens and leave after the post-race activities are completed. Course Assist in planning and certification of GARR course(s). Staff, set up, operate, tear down and clean assigned water stop locations on race day. Communicate with MIM Operations / Race Management staff any issues at water stop locations or along the course. Runners Serve as ambassadors for participating elite runners. Staff, and assist with set up, operation and tear down of GARR Expo. Staff, and assist with set up, operation and tear down of Runner Check-In and Gear Check on race day. Marshall runners prior to start and after finish to post-race activities. Assist with medal distribution at finish line.

The Hospitality Committee is an Operations committee responsible for providing food services, contract rider fulfillment and hospitality areas for performing artists, VIP’s, volunteers and GARR runners.  The committee is also responsible for maintaining backstage areas and upholding a professional level of service.

Specific Duties & Responsibilities Pre-event: clean, setup and prepare hospitality areas, performer trailers and dining areas backstage, including inventory of all equipment and supplies Provide in-trailer hospitality, distribute messages and supplies between areas/stages During events: prepare and serve meals and refreshments to performers and volunteers Maintain clean workstations according to state and local heath codes Post-event:  Proper disposal of surplus food as well as cleaning of VIP and hospitality areas and trailers and break down of backstage dining areasSupport internal committee structure Maintain communication and asset allocation system with Operations staff member Attend committee orientation and training

The Recycling Committee is an Operations committee responsible for the implementation of Memphis in May's greening program.  Recycling volunteers assist in promoting & monitoring recycling efforts during events and in waste diversion among teams and the general public.

Specific Duties & Responsibilities Recycling Container Placement Coordinate with MIM Operations staff and waste management / site cleanup vendors Recycling Monitoring Monitor and maintain designated recycling areas Remind and encourage participants and patrons to recycle WCBCC Team Recycling Monitoring Distribute recycling receptacles to teams Maintain recycling supplies Assist teams by directing them to designated areas for bagged recyclables Attend committee orientation and training

The Transportation Committee is an Operations committee responsible for inventory and control of MIM Golf Carts, operating festival shuttle services, coordinating and / or providing ground transportation for performing artists and VIP’s, control of vehicular access into the Festival event site and parking areas inside the festival gates.  This includes media, vendors, performers, VIP’s and emergency personnel.

Qualifications Ability to assess needs of vehicles entering the park Adherence to all vehicle rules Attend required training

 

Specific Duties & Responsibilities Control vehicular access to event site Supervise and assist staff, vendors, performers, sponsors, media and participating WCBCC teams by providing transportation or access to the necessary means of transportation Provide Communication to staff regarding vehicles entering event site Coordinate with MIM Operations and event security to ensure adherence to traffic control plan and vehicle access rules within event siteAttend Committee Meetings Prohibit unauthorized use of Golf Carts Monitor Fuel Stations and Golf Cart Storage to mitigate loss and theft Organize and implement in-park artist and VIP transportation for all events Provide transportation services within event site for staff, volunteers, sponsors, judges, etc. through operating a golf cart shuttle throughout event site

The WCBCC Admin Committee is an Operations committee responsible for ensuring the overall smooth and successful production of the WCBCC contest.  This committee supports the Memphis in May staff and other WCBCC committees to provide leadership and problem solving before and during the WCBCC.  Members must enforce and have full knowledge of volunteer, WCBCC, and event rules and regulations.

 

Involvement & Time Commitment WCBCC pre, during and post event Meetings vary; January - April with committees

 

Qualifications Knowledge of WCBCC competition, rules and contestants.*Typically must be available to work Wednesday - Sunday of the WCBCC.

 

Specific Duties & Responsibilities General Advise MIM staff about ways to improve WCBCC. Committee members must be proactive with communication. Members must attend all trainings, meetings and events for WCBCC volunteers. Members will assist and support other WCBCC committees as needed

The WCBCC Contestants Committee is an Operations committee responsible for ensuring a smooth experience for all WCBCC contestants by providing critical information and assistance to all competitors.

 

Involvement & Time Commitment WCBCC pre, during and post event Meetings vary; January - April with committees

 

Qualifications Knowledge of WCBCC competition, rules and contestants.*Typically must be available to work Saturday through Tuesday prior to WCBCC and / or Wednesday - Sunday of the WCBCC, depending upon specific role within the committee..

 

Specific Duties & Responsibilities Contestants Serve as ambassadors to competition teams.  Each Ambassador is assigned a category (Patio Porker, Rib, Shoulder, Whole Hog). Each assigned to several teams of their assigned category. Contact teams before the Festival and serve as main interface between MIM and assigned teams pre, post and throughout. Communicate with volunteer leadership to ensure contestant questions and concerns are addressed. Assist with load in/out, site preparation and other team needs, ensuring that teams receive personal attention. Distribute wristbands and collect liability statements at Cook’s meeting. Assemble and distribute goody bags for teams at event. Register teams, assign trash containers, and coordinate other giveaways. Coordinate with electrical desk and MFD for team check-in. Answer team questions. Attend committee orientation and training.

The WCBCC Judging Committee is an Operations committee responsible for implementing judging and scoring of the WCBCC contest and ensuring the integrity of the judging process and contest, according to official contest rules.

 

Involvement & Time Commitment WCBCC pre, during and post event Meetings vary; January - April with committees

 

Qualifications Knowledge of WCBCC competition, rules and contestants. For Judging, prior training and thorough knowledge of contest rules, scoring and judging procedures preferred *Typically must be available to work Wednesday - Sunday of the WCBCC.

 

Specific Duties & Responsibilities Judging Responsible for scheduling, judging, scoring, tabulation and reporting for all food contests entered by WCBCC competing teams. Contests include:  Ribs, Whole Hog, Shoulder – blind, on site and finals.  Patio Porker Sauce (tomato, vinegar and mustard) Anything but (poultry, seafood, beef, exotic) Hot wings contestTurkey Smoke contestJr. Barbecue Cooking Contest Duties include inviting, confirming and assigning MIM certified judges and coordinating committee volunteers to assist judges. Operate judging tent, conduct cooks’ meetings, judges’ briefings. Work with CPA sponsor who enter scoring information and provide scoring tabulations to all teams. May be assigned in the areas of Judges’ Check-in, scoring, tent coordination, blind area coordination, meat inspection or other. Attend committee orientation and training. Responsible for setup of the Judging Tent (coordinate with MIM operations staff and Production) Clean and Maintain the Judging/Registration tent Set up curtains, bike rack, tables, chairs pre-WCBCC, restage the area between contestant check in and out to accommodate judges.

The WCBCC Programming Committee is a Marketing committee responsible for assisting in the development & implementation of public / patron focused attractions and programs during the World Championship Barbecue Cooking Contest. 

 

Involvement & Time Commitment Event long During events- daytime and evenings for setup / breakdown and staffing of various event activities such as Tour of Champions, Cooker Caravan, BBQ Alley, etc.

 

Qualifications Maintain a positive attitude Interest in and detailed knowledge of WCBCC and its programs

 

Specific Duties & Responsibilities WCBCC Staff and manage operation of Tour of Champions and Cooker Caravan. Coordinate and assist in production of non-performing artist stage activities such as Opening Ceremony / Lighting of the Grill, Ms. Piggie Idol contest, Sauce Wrestling and awards ceremonies. Coordinate, manage and staff BBQ Alley. Attend committee orientation and training.
